Key Responsibilities

  • Manage end-to-end processing of tourist, business, and transit visa applications for individual travellers, families, corporate groups, and MICE movements.

  • Assess visa requirements based on the applicant’s nationality, residence, travel purpose, destination, and travel history.

  • Prepare and explain destination-specific document checklists to clients.

  • Review passports, application forms, photographs, financial statements, employment documents, sponsorship letters, invitations, and supporting travel documents for accuracy and completeness.

  • Complete online application forms and coordinate submission through the appropriate embassy, consulate, authorised visa application centre, or official portal.

  • Draft cover letters, sponsorship letters, travel explanations, and other supporting correspondence as required.

  • Coordinate visa appointments, biometrics, interviews, document submissions, and passport collection.

  • Guide clients on application requirements, expected processing timelines, fees, and additional document requests.

  • Track application progress, maintain follow-up schedules, and communicate timely updates to clients and internal teams.

  • Coordinate with sales, ticketing, holidays, and MICE teams to align visa processing with travel dates.

  • Handle group applications using accurate trackers, document checks, and submission schedules.

  • Review refusal reasons and assist with fresh applications or further documentation where appropriate, without guaranteeing approval.

  • Verify issued visas for accuracy, including names, passport numbers, validity, number of entries, and permitted stay.

  • Maintain accurate records of applications, payments, receipts, passports, and document handovers.

  • Protect confidential client information and ensure secure handling of passports and personal documents.

  • Stay updated on changes to visa requirements, submission procedures, appointment availability, and processing timelines.

Required Knowledge and Skills

  • Practical experience processing visas for major international destinations, including Schengen countries, the UK, the USA, Canada, Australia, New Zealand, the UAE, and key Asian destinations.

  • Strong understanding of e-visas, electronic travel authorisations, visa-on-arrival eligibility, and sticker visa processes, where applicable.

  • Familiarity with VFS Global, BLS International, and other authorised visa application centres, depending on the destination.

  • Working knowledge of relevant application systems, such as DS-160, UKVI, ImmiAccount, and Canadian immigration portals.

  • Ability to assess documentation, identify missing information, and flag inconsistencies before submission.

  • Understanding of financial evidence, sponsorship requirements, employment documentation, and travel history.

  • Ability to distinguish between visa validity, permitted duration of stay, and entry conditions.

  • Strong written and verbal communication skills, including professional email drafting.

  • Proficiency in MS Excel, Google Sheets, email, and CRM systems.

  • Excellent attention to detail, time management, and ability to manage multiple applications within deadlines.

  • Ability to communicate requirements clearly and handle urgent client queries professionally.

Qualifications and Experience

  • Graduate in any discipline; a qualification in Travel and Tourism is an advantage.

  • 3–4 years of hands-on visa processing experience with a travel company, tour operator, or visa services provider.

  • Proven ability to independently manage applications across multiple destinations.

  • Experience handling corporate clients, group tours, and MICE visa requirements is preferred.

Performance Expectations

  • Accurate and complete application preparation.

  • Timely submissions and consistent follow-ups.

  • Clear client communication and updated application trackers.

  • Secure handling of passports and confidential documents.

  • Early identification and escalation of cases that may affect travel schedules.
