This policy applies to cancellations and refund requests for travel services booked with Benchmark Holidays.
Your existing website already has a Cancellation & Refund Policy, but its current wording primarily says cancellation is subject to platform terms and that refund requests should be submitted within three days in specified circumstances. For a travel company, I recommend the more explicit structure below.
Cancellation Request
Customers wishing to cancel a booking should contact Benchmark Holidays in writing at:
Please provide:
The date on which Benchmark Holidays receives the written cancellation request will be considered the cancellation date.
Cancellation Charges
This is the one section Benchmark management/finance should approve before your developer publishes it.
A workable general schedule would be:
|
Cancellation received before departure |
Cancellation charge |
|
60 days or more |
20% of total tour cost |
|
45–59 days |
30% of total tour cost |
|
30–44 days |
50% of total tour cost |
|
15–29 days |
75% of total tour cost |
|
Less than 15 days |
100% – No refund |
|
No-show / failure to travel |
100% – No refund |
Important: Where the package, quotation, airline, hotel or another supplier specifies different cancellation terms, the package-specific/supplier-specific cancellation conditions communicated for that booking will prevail.
Non-Refundable Components
Even where a booking qualifies for a partial refund, certain amounts may already be non-refundable, including:
Visa Rejection
Visa approval or rejection is determined by the relevant embassy, consulate or immigration authority.
Visa rejection does not automatically entitle the traveller to a full package refund.
Any refund will be calculated after deducting visa fees, airline/hotel/supplier cancellation charges and other non-refundable expenses already incurred.
Cancellation or Changes by Airlines/Suppliers
Airline cancellations, schedule changes, hotel changes and other supplier disruptions are governed by the applicable supplier's rules.
Where Benchmark Holidays receives a refundable amount from the supplier, the eligible amount will be processed for the customer after applicable deductions.
Cancellation by Benchmark Holidays
If Benchmark Holidays cancels a tour for operational reasons, customers may, depending on the circumstances, be offered:
The available option will depend upon the reason for cancellation and amounts recoverable from third-party suppliers.
Force Majeure
Where travel is affected by events beyond reasonable control—including severe weather, natural disasters, war, civil unrest, government restrictions, border closures, epidemics/pandemics, strikes or major airline disruptions—refunds will depend on applicable law and amounts recoverable from airlines, hotels and other suppliers.
Refund Processing Timeline
Once a refund has been approved and the final refundable amount determined, Benchmark Holidays will normally initiate the eligible refund within 7–10 business days.
After Benchmark Holidays initiates the refund, additional processing time may be required by Razorpay, the customer's bank, card network, UPI provider or other financial institution before the amount appears in the customer's account.
Refund Method
Where technically possible, payments made online will be refunded to the original payment method.
Benchmark Holidays may require additional verification before processing a refund.
Failed or Duplicate Payments
If a payment fails or is duplicated but the amount has been debited, customers should contact:
