MICE Operations Associate

We are looking for an experienced MICE Operations Associate to manage corporate travel, incentive trips, conferences, and exhibitions from planning to execution. The role involves coordinating with clients, suppliers, DMCs, hotels, airlines, and tourism boards while managing budgets, logistics, and on-site operations to deliver seamless MICE experiences.

About the Role


We are looking for an experienced and detail-oriented MICE Operations professional to take end-to-end ownership of our corporate travel, incentive, conference, and exhibition projects. The ideal candidate will be a strong planner, negotiator, and on-ground problem-solver, capable of managing complex logistics while delivering an exceptional client experience.

 

What You’ll Do

 

End-to-End Project Management


Take complete ownership of projects post-handover from the sales team, from initial planning to final billing and reporting
Develop detailed critical path timelines, operational checklists, and project plans for each MICE group
Manage project budgets meticulously, ensuring cost control and profitability targets are met

 

Supplier & Partner Coordination


Source, negotiate with, and manage a global network of partners and suppliers, including hotels, airlines, Destination Management Companies (DMCs), restaurants, and activity suppliers
Liaise and coordinate effectively with national and international Tourism Boards to gather information, support, and resources for various destinations
Draft and manage contracts with all partners, ensuring favourable terms and conditions
Continuously evaluate vendor performance to maintain high standards of quality

 

Logistics & Operational Execution


Oversee all logistical components, including group flight bookings, visa processing, travel insurance, accommodation arrangements, and ground transportation
Coordinate with clients and internal teams on all on-ground requirements, including venue setup, audio-visuals, F&B, entertainment, and social events

 

On-Site Management & Client Servicing


Lead or supervise on-site execution for key MICE projects, acting as the primary point of contact for senior client stakeholders
Demonstrate exceptional problem-solving skills, handling on-ground issues or emergencies calmly and effectively

 

Financials & Reporting


Oversee the preparation of post-event reports, client feedback forms, and final financial reconciliations
Create and deliver clear, professional presentations for internal reviews and client updates

 

What We’re Looking For


Bachelor's degree in Travel & Tourism, Hospitality Management, Business Administration, or a related field (MBA/PGDM preferred but not mandatory)
Minimum 2 years of experience in MICE operations, corporate travel, or event management, with a proven track record of handling large-scale, multi-destination projects
Strong understanding of international travel logistics, visa processes, and global supplier networks
Proficiency in MS Office (Excel, PowerPoint); familiarity with project management and CRM tools is a plus
Willingness to travel extensively, including on short notice, both domestically and internationally
