Event Production Specialist

We are looking for an experienced Event Production professional to plan and execute the technical and operational aspects of MICE and corporate events. The role involves managing vendors, budgets, logistics, venue setups, and on-ground teams while ensuring events are delivered seamlessly, on time, and to the highest quality standards.

About the Role



We are looking for an experienced Event Production professional to plan, coordinate, and execute the technical and operational elements of our MICE and corporate events. From pre-event planning and vendor management to on-ground execution and post-event reporting, this role ensures every event runs seamlessly — on time, within budget, and to the highest quality standards. The ideal candidate is a hands-on problem-solver who thrives under pressure and is comfortable managing complex, multi-vendor productions from concept to close-out.

 

What You’ll Do

 

Pre-Event / Planning Phase


Work with Sales, Client Servicing & Creative teams to understand event scope, objectives, concept/theme, and client expectations
Prepare detailed production plans, timelines, run-sheets, show flow, and technical specifications
Identify and manage vendors & suppliers (AV/audio, lighting, staging, décor, signage, catering, travel, accommodation); negotiate rates and contracts, and ensure SLAs are met
Coordinate with the Creative/Design team on branding, signage, décor, graphics, and experiential elements
Secure required permits, licenses, and insurance, as applicable
Plan logistics including transport, accommodation, and shipping of materials & equipment

 

Budget & Cost Control


Develop and monitor production budgets; track expenses against estimates and flag and manage variances
Identify cost efficiencies without compromising on quality

 

Production / Onsite Execution


Oversee venue setup — staging, lighting, AV, décor, seating arrangements — ensuring all technical elements are fully functional
Manage onsite teams (vendor staff, contractors, internal crew), ensuring clear role definition and smooth coordination
Conduct technical checks and rehearsals; ensure accurate timings, cue sheets, and backups for critical elements
Monitor event flow and troubleshoot real-time issues, maintaining quality, safety, and compliance with venue rules and safety norms
Coordinate with clients onsite, ensuring expectations are met and any changes are handled professionally

 

Post-Event


Supervise teardown/breakdown and ensure an efficient close-out
Reconcile vendor invoices and liaise with Finance for timely payments
Prepare post-event reports covering what worked, areas for improvement, client feedback, and key learnings
Ensure all deliverables (photos, videos, data) are collected, catalogued, and handed over as per client/internal requirements

 

Continuous Improvement & Collaboration


Maintain a vendor database and regularly evaluate vendor performance
Stay updated on trends, technologies, and production techniques within the MICE/events space
Collaborate with Sales, Marketing, Creative, Operations, and Client Servicing teams to deliver cohesive events and maintain brand positioning

 

What We’re Looking For


Bachelor's degree in Event Management, Hospitality, Production, or a related field
2–6 years of experience (or more, depending on seniority) in event production/operations within the MICE/events industry; experience with both small- and large-scale events is preferable
Strong understanding of technical production — AV, lighting, staging, sound, and décor
Excellent project and time management skills, with the ability to handle multiple events/projects concurrently under strict timelines
Strong negotiation skills, with the ability to manage vendors and contracts effectively
Sound budget management and financial acumen
Strong communication and interpersonal skills, with the ability to coordinate across clients, internal teams, and vendors
A calm, adaptable problem-solver who can manage last-minute changes under pressure
High attention to detail and strong quality standards
Willingness to travel and work onsite, with flexibility around work hours (early mornings, late nights, and weekends as required)
